ADMINISTRATIVE & PROGRAM DIRECTOR PART TIME TEMPORARY POSITION
POSITION: Project Management / Budget Management / Administrative
HOURS: 20 hours per week. Temporary position; maternity-leave backfill. Approximately 4.5 months duration; mid-April through end of August, 2021.
SALARY: $20/hour; membership at One Yoga
REPORTS TO: One Yoga Leadership Team & Board
The Administrative & Program Director implements and evaluates One Yoga projects and programs, and performs executive financial and administrative functions to support the mission of making health and wellbeing through the practices of yoga accessible to all. They coordinate with the One Yoga staff team, Board, and other key stakeholders to develop and realize the organization’s vision and strategic plan while maintaining a balanced budget.
One Yoga is looking for qualified candidates to fill in for the Administrative & Program Director position on a temporary basis from mid-April through the end of August 2021. During this period, one of the key roles of the Temporary Administrative & Program Director will be to help manage the build-out and move to a new yoga studio space in South Minneapolis.
RESPONSIBILITIES:
Project Management
Coordinate build-out and move to a new South Minneapolis studio space
Facilitate meetings of the One Yoga Move Planning Committee; schedule meetings, take notes, and drive implementation of next-steps
In collaboration with the Committee, solicit input from diverse stakeholders, including teachers, students, board members, and community members, organizations, and businesses
Study and understand existing build-out budget
Study and understand architectural plans and project details
Solicit general contractor bids and engage in negotiations
Sign-on with a general contractor and create rough project timeline and budget
Identify sub-contractors and lay out detailed timeline and work plan
Submit for all city building permits and schedule initial inspections of site
Create detailed calendar and schedule subcontractor work in appropriate sequence
Track detailed financial plan including completed, scheduled, and not-yet-scheduled payments against total budget
Manage inspection updates with city officials and keep detailed records of complete/pending events
Update financial plan and remaining budget on weekly basis and send update on progress to leadership team
Schedule final walk through with subcontractors/contractors when work is complete
Schedule and sign-off on final inspections to ensure all work meets city guidelines
Complete final budget update, including all expenses vs. initial plan
Develop and maintain community outreach partnerships (virtual via Zoom)
Schedule yoga series with partner organizations
Recruit One Yoga instructors for community partnerships as needed
Coordinate between partner organization and One Yoga instructors
Maintain a detailed calendar of all community outreach partnerships
Create and submit invoices to partners
Facilitate completion of evaluation surveys by program participants
Support program staff in implementation of other One Yoga programs - including virtual offerings (classes, workshops, and advanced trainings) - in a way that is aligned with organizational mission, vision, and strategic plan
Circulate class recordings to registered participants several days per week

Budget Management
Manage organizational budget of $300,000
Analyze and interpret financial statements
Monitor performance to budget
Perform regular cash flow reviews
Manage individual program budgets
Create program budgets aligned with program objectives
Monitor performance to budget
Create invoices and pay bills
Accounting and paperwork
Review and approve teacher invoices and staff time sheets; sign paychecks
Review and sign checks for bill payment; make bank deposits
Monitor and respond to any cash-flow issues
Administrative
Schedule, prepare materials for, and facilitate board, teacher, and staff meetings
Prepare monthly narrative reports utilizing program data and financial reporting
Oversee implementation of appropriate contracts and paperwork for guest teachers, core teachers, and staff as needed
Coordinate hiring process for staff and teachers as needed
Check the One Yoga P.O. Box and respond to correspondences or forward to the appropriate staff person or bookkeeper
SKILLS NEEDED:
Project management experience, ideally overseeing a move or construction project
Budget and financial management experience
Knowledge of the yoga industry
Data analysis and reporting skills
Proven leadership and group facilitation skills; the ability to delegate work
Outstanding communication and negotiation skills
Excellent organizational and time management skills
Ability to take initiative and manage complex projects without supervision
Ability to work collaboratively in a team as well as take direction as needed
Culturally competent; able to discuss complex social issues in a thoughtful and sensitive way
Ability to give and receive feedback about work performance or interpersonal issues, and resolve disagreements and conflicts in a cooperative manner
SKILLS WANTED:
Excellent technical skills and understanding of construction methods, contracts, materials, and blueprints
Good knowledge of Microsoft Excel and Google Drive
Experience with Zoom in an administrative capacity
